Getting Started
Before we begin
A few basics about who BlueWave Ledger works with and how a new engagement starts.
What types of businesses do you work with?
BlueWave Ledger primarily works with service-based small businesses, including professional services firms, consultants and agencies, healthcare practices, contractors, and trades businesses. The right fit depends less on a specific industry and more on the accounting needs, transaction activity, and level of support your business requires.
How do I get started?
Start by contacting BlueWave Ledger and telling us a little about your business, your current accounting process, and where you need support. We'll review your needs, discuss the current situation, and determine whether the services and working relationship are a good fit.
Do you work with businesses outside Los Angeles?
Yes. BlueWave Ledger is based in Los Angeles and works remotely with businesses using cloud-based accounting tools. You do not need to be located in Los Angeles to work with us.
Bookkeeping & Accounting
Maintaining the books
Questions about recurring bookkeeping, accounting methods, cleanup work, and tax preparation.
What does monthly bookkeeping include?
The exact scope depends on the engagement, but recurring bookkeeping can include transaction review and categorization, bank and credit card reconciliations, general ledger review, journal entries, accounts payable and receivable support, month-end close, and financial reporting. We define the responsibilities and reporting requirements before the recurring process begins.
Do you work with cash-basis or accrual-basis accounting?
Both. BlueWave Ledger can support cash-basis and accrual-basis bookkeeping depending on the needs of the business. Accrual bookkeeping may include items such as prepaid expenses, accrued expenses, retainers, deferred revenue, and other period-end adjustments when they are relevant to the engagement.
Can you clean up bookkeeping that has fallen behind?
Yes. Cleanup and catch-up work can be provided when accounting records need to be brought current or corrected before recurring bookkeeping begins. The scope depends on the condition of the books, the periods involved, the available supporting information, and the amount of review required.
Do you prepare tax returns?
No. BlueWave Ledger currently focuses on bookkeeping, accounting support, financial reporting, and related financial analysis rather than income tax return preparation. Well-maintained books can, however, make it easier to provide organized financial information to your tax professional.
Are your financial statements audited or reviewed by a CPA?
No. BlueWave Ledger prepares financial reports for management and bookkeeping purposes based on the accounting records maintained for the business. These services do not constitute an audit, review, compilation, or other assurance or attestation service performed by a CPA firm.
Accounts Payable & Receivable
Bills, invoices, and outstanding balances
How BlueWave Ledger can support the money moving into and out of your business.
Can you help manage bills and customer invoices?
Yes. Depending on the engagement, accounts payable support can include entering and organizing bills, tracking due dates, reviewing vendor balances, and reconciling payable activity. Accounts receivable support can include preparing invoices, recording payments, monitoring customer balances, and maintaining receivable aging information.
Do you make payments from my bank account?
Payment responsibilities are defined as part of the engagement and should include appropriate controls and approval procedures. BlueWave Ledger can support the accounts payable process, but business owners retain responsibility for financial authorization and any payment approvals that are not explicitly delegated under the agreed process.
Do you follow up on overdue customer invoices?
Accounts receivable support can include monitoring aging reports, identifying overdue balances, and supporting routine follow-up processes when included in the engagement. BlueWave Ledger is not a collection agency and does not provide debt collection or legal services.
Financial Reporting & CFO Support
Understanding and using the numbers
Questions about financial statements, analysis, planning, and higher-level financial support.
What financial reports do you provide?
Reporting can include profit and loss statements, balance sheets, cash flow statements, accounts receivable aging, accounts payable aging, period-over-period comparisons, and budget-to-actual reporting when applicable. The reports included depend on the needs and scope of the engagement.
What is fractional CFO support?
Fractional CFO support extends beyond maintaining historical accounting records and focuses on using financial information for analysis and planning. Depending on the engagement, this can include cash flow analysis, budgeting, forecasting, variance analysis, KPI tracking, scenario modeling, and financial decision support.
How is fractional CFO support different from bookkeeping?
Bookkeeping focuses primarily on maintaining the accounting record: recording financial activity, reconciling accounts, reviewing the general ledger, and completing recurring accounting processes. Fractional CFO support builds on that foundation by analyzing the information, developing forward-looking financial views, and adding financial context to planning and business decisions.
Do I need fractional CFO support?
Not every business does. If your primary need is accurate books and dependable financial reports, recurring bookkeeping may be enough. Fractional CFO support becomes more useful when you regularly need help with budgeting, forecasting, cash planning, financial analysis, or evaluating the potential financial effects of business decisions.
QuickBooks Online
Your accounting system
How QuickBooks Online fits into the BlueWave Ledger accounting process.
Do I need to use QuickBooks Online?
BlueWave Ledger specializes in QuickBooks Online and uses it as the primary accounting platform for client bookkeeping engagements. If you currently use another accounting system, we can discuss whether moving to QuickBooks Online makes sense for your business and the proposed engagement.
Can you set up QuickBooks Online for a new business?
Yes. QuickBooks Online setup can include company settings, chart of accounts organization, bank and credit card connections, opening balances, customers and vendors, products and services when applicable, and other settings needed to establish the accounting workflow.
Can you improve a QuickBooks Online file that is already set up?
Yes. Existing files can be reviewed for issues such as unnecessary or duplicate accounts, inconsistent account organization, settings that no longer fit the business, and workflows that make recurring bookkeeping more difficult. The appropriate work depends on whether the file primarily needs optimization or more extensive bookkeeping cleanup.
Working Together
Onboarding, communication, and responsibilities
What to expect once we determine that BlueWave Ledger is a good fit for your business.
How does onboarding work?
After the scope is agreed upon, onboarding establishes the information, access, and workflows needed to begin the work. This may include reviewing your QuickBooks Online file, account structure, bank and credit card activity, existing bookkeeping processes, accounts payable and receivable workflows, reporting needs, and outstanding accounting issues.
How do we share financial information securely?
The appropriate method depends on the type of information being shared. BlueWave Ledger uses cloud-based accounting and supporting tools where appropriate and avoids relying on ordinary email for sensitive credentials. Access and information-sharing procedures are established during onboarding based on the systems involved.
How often will we communicate?
Communication frequency depends on the engagement and the amount of activity that requires discussion. Recurring work may include scheduled check-ins as well as communication about accounting questions, missing information, unusual transactions, reporting, or other items that need attention.
What will you need from me?
Even when bookkeeping is outsourced, some information can only come from the business. We may need timely access to financial records, supporting documentation, answers about transactions or business activity, and approvals or decisions that remain your responsibility. Clear and timely communication helps keep the accounting process moving.
Pricing
Scope and engagement
How we determine the appropriate level of service for your business.
How much do your services cost?
Pricing depends on the scope and complexity of the work. Factors can include transaction volume, number of financial accounts, accounting method, accounts payable and receivable activity, reporting requirements, condition of the existing books, and the level of ongoing support needed. We review these factors before proposing the scope and pricing for an engagement.
Do you offer one-time projects?
Yes. Some services, such as QuickBooks Online setup, accounting cleanup, and catch-up bookkeeping, may be appropriate as defined projects. Other services, including recurring bookkeeping and ongoing financial support, are generally structured around continuing accounting needs.
Do you require a long-term contract?
Engagement terms depend on the services and scope being provided. Any ongoing responsibilities, pricing, timing, and termination terms are defined before work begins so both sides understand the arrangement.
